Course Approval and Credit Transfer

If you are participating in a Seton HallSpring Embeddedor Summer Abroad Faculty-Led Program, your courses are approved alongside your Study Abroad application and no additional approval is required. If you are studying through a Specialty or Partner Campus for a Semester Abroad, Summer Abroad, or Winter Abroad Program, you will complete a Credit Transfer Form (CTF) before departure. Your CTF is an important part of planning your experience abroad: it confirms that your courses are approved and shows exactly how they will count toward your Seton Hall degree.

The steps below (Getting Started, Get Your Approvals, Abroad Registration, Course Changes, Grades and Transcripts) will walk you through the CTF process from start to finish so you know exactly what to do and who to work with along the way.

Getting Started

Before meeting with your Academic Advisor, get the information you will need to review your course options and determine which program is the best fit for you.

Specialty vs. Partner Campuses: Click here and select Explore Your Options to learn more about the differences between Specialty and Partner Campuses. Chat with our Study Abroad Team and consult your Academic Advisor to determine which campus and course options work best for you.

Credit Transfer Form: The Credit Transfer Form (CTF) is the central part of a Semester Abroad application. Download the CTF and complete only the top section with your student information. Leave the course section blank for now - you will complete it with your Academic Advisor and any relevant Department Chairs as they review and approve your abroad courses.

Courses & Syllabi: Your Academic Advisor and Department Chairs will use the course syllabi you provide them to review Seton Hall equivalencies.
• Specialty Campuses: Find courses on your USAC Campus page, then email [email protected] to request the syllabi you need. Specialty Campus courses are listed in U.S. credits. 
• Partner Campuses: Find syllabi on the Partner Campus website. If you need help locating them, email [email protected]. Partner Campus credits may require conversion. Check with the Study Abroad team for any necessary credit conversions before requesting course approvals.

No Domestic Courses: You may not take domestic Seton Hall courses, including online or asynchronous courses, during a semester abroad.

Get Your Approvals

Once you have your CTF, course syllabi, and any necessary credit conversions, you are ready to begin the course approval process! Click here to find the current Department Chairs and Study Abroad Deans.

Request approvals in the order below:
• Student: Sign your CTF before requesting approvals.
• Academic Advisor: Meet with your Academic Advisor to review of your courses, degree requirements, and proposed Seton Hall course equivalencies.
• Department Chair: Request your Department Chair’s review and approval of your CTF.
• Courses Outside Your Major: If a course abroad will equate to a specific Seton Hall course outside your major, you must also request approval from the Chair of that Seton Hall department.
• College/School Dean: Request your College or School Dean’s approval.
• Study Abroad: Email your completed CTF to [email protected] to receive final Study Abroad approval.

Once your CTF is fully approved by your Academic Advisor, Department Chair(s), and Dean, the Study Abroad team will send it to Enrollment Services on your behalf.

Abroad Registration

Once your CTF is fully approved, the Study Abroad team will send it to Enrollment Services on your behalf for their approval. Enrollment Services will use your form to complete your Seton Hall registration for your term abroad.

Study Abroad Placer Course: Enrollment Services will enroll you in a 12- to 18-credit Study Abroad Placer Course, which serves as your Seton Hall registration while abroad. This maintains your full-time Seton Hall student status and allows your institutional scholarships and financial aid to remain applicable.

Your Courses Abroad: You will enroll in your abroad courses through your Specialty or Partner Campus. Your campus will send you instructions on how and when to complete course registration. Please note that registration timelines vary by campus type. Partner Campuses typically have registration much closer to the start of the term (sometimes within days or weeks of your arrival) than you may be used to at Seton Hall. Specialty Campuses generally have registration several months in advance, similar to the registration timeline at Seton Hall.

Seton Hall Courses: You may not take domestic Seton Hall courses during a semester abroad. If you are already registered for Seton Hall courses during a semester abroad, you must drop those courses before Enrollment Services can enroll you in the Study Abroad Placer Course. 

Course Changes

Sometimes course availability or scheduling changes after you arrive abroad. If you need to add, drop, or change a course from what was originally approved on your CTF, email the Study Abroad team as soon as possible.

Single Course Changes: You do not need to complete a new Credit Transfer Form for one or two course changes. Email [email protected] with the course you are changing, the new course information, and the course syllabus. The Director of Study Abroad will update your existing Credit Transfer Form in consultation with your Dean.

Additional Approval: If your new course requires approval from an Academic Advisor or Department Chair, you may be asked to obtain approval by email. Send or forward the written approval to [email protected] so it can be documented with your CTF.

Do not wait until the end of your program to report a course change. Any changes should be approved while you are abroad so you know how the course will transfer back to Seton Hall.

Grades and Transcripts

After your program ends, your Specialty or Partner Campus will issue an official transcript showing the courses and grades you earned abroad. Your transcript will be sent to Seton Hall so your approved courses can be processed for transfer credit.

Minimum Grade: You must earn a grade of C or higher, or the equivalent, for a course to transfer back to Seton Hall. Courses below this minimum will not receive Seton Hall credit.

Grades and GPA: Your study abroad grades are not recorded on your Seton Hall transcript and are not calculated into your Seton Hall GPA. Once your transfer credit is processed, your Seton Hall academic record will reflect the approved credits you successfully completed abroad.

Transcript Processing: Once Seton Hall receives your official transcript, your completed courses will be reviewed against your approved CTF and sent for processing. Transcript processing will take time after your program ends, so your study abroad credits will not appear on your Seton Hall academic record immediately.
