Internship Program Partnership Guidelines
Seton Hall University’s career-based Internship Program is designed to connect students’ academic preparation with meaningful, hands-on professional experiences. The University is committed to building strong partnerships with sponsoring organizations to ensure high-quality, educationally sound internship opportunities.
As a sponsoring organization, you gain access to talented undergraduate and graduate students prepared to contribute to your mission.
In turn, your participation in the Internship Program demonstrates your commitment to Seton Hall University’s educational goals and to the growth and development of students as future professionals and community leaders.
The University has established the following guidelines outlining the mutual responsibilities of both Seton Hall University and sponsoring organizations. Sponsors are also encouraged to review the U.S. Department of Labor’s Fair Labor Standards Act (FLSA) guidance on internship programs.
Responsibilities of the University
- With written consent from the student, confirm the student’s academic eligibility to participate in an internship assignment.
- Designate a faculty advisor and/or Career Center professional to serve as an advisor to the student. The advisor will assist in setting learning objectives, confer with the sponsoring organization, monitor the progress of the internship assignment and evaluate the academic performance of the student.
- Maintain communication with the sponsoring organization to clarify Seton Hall University’s policies and procedures.
- Maintain the confidentiality of any information obtained about the sponsoring organization.
- Ensure that appropriate insurance coverage is in place for foreseeable exposures associated with the program.
Responsibilities of the Sponsoring Organization
- Maintain the confidentiality of information obtained from, or provided to, the University regarding the student.
- Provide a full and accurate description of the organization, work responsibilities and recruiting process.
- Provide a learning environment that contributes to the student’s personal and professional growth.
- Provide a safe work environment that is free from harassment and discrimination.
- Designate a qualified supervisor or mentor who will monitor and guide the student’s work.
- Make available the equipment, supplies and workspace necessary for the student to perform assigned duties.
- Allow a Career Center professional or faculty advisor to visit the student and meet with sponsoring organization personnel when appropriate.
- Notify the University of any changes to the student’s status and/or performance.
- Provide ongoing feedback to the student and complete a performance evaluation (provided by The Career Center at the end of each semester).
- Maintain consistent communication with Seton Hall University throughout the internship period.
If an internship requires a confidentiality agreement, provide a copy to The Career Center. The sponsoring organization must secure the intern’s explicit written consent to the agreement before allowing the intern to begin work or granting access to company information.
Criteria for Intern Position Descriptions
To ensure a high-quality experience and achieve desired outcomes for the student, sponsoring organization and Seton Hall University, all internship positions will be reviewed based on the following criteria:
- The mission of the sponsoring organization and the internship experience must align with Seton Hall University’s mission.
- The position must allow students to build confidence and develop professional competencies.
- The sponsoring organization must provide a written position description to The Career Center, including the name and title of the individual who will serve as the student’s direct supervisor.
- The sponsoring organization must provide appropriate orientation and training.
- No more than 20 percent of the student’s responsibilities may be clerical in nature.
- If the internship extends beyond twelve weeks, the organization should provide progressively responsible assignments.
Terms of Arrangement
If a sponsoring organization is dissatisfied with a student’s performance, termination of the internship arrangement may be requested after notifying a Career Center professional in advance and attempting to reach a satisfactory resolution.
Conversely, the University may request termination of the internship placement if a student fails to comply with the University’s Community Standards or program procedures, provided the sponsoring organization has been notified in advance and a satisfactory resolution cannot be obtained.
