Policy Description
The TLTC Reservation Procedure outlines the requirements of the TLTC for customers who wish to reserve equipment to be used in classrooms on the SHU campus. This procedure was created as a means to ensure that the TLTC staff has adequate time and resources to meet the needs of TLTC customers requesting the use and delivery of audio visual equipment in classrooms throughout the SHU campus.
Classroom Equipment Requests:
- The TLTC respectfully requires that 2 business days notice be given for any equipment request.
- To make a request, please send an e-mail to mediaservice@shu.edu. Upon receiving your e-mail, Media Services will send you a link to the Reservation Database. Once you receive and open the link, simply click on the "Make a Request" button and fill out the form completely by answering the questions and choosing the options presented. Please note that you must have a valid University e-mail address to use this system. If you do not have a valid SHU e-mail address your department secretary can fill out the form for you.
- Requests are handled on a first come first serve basis.
- Classroom activities take priority over any other service provided by the TLTC. We reserve the right to bring in additional resources for a non-classroom activity or any activities that are outside the normal operating hours of the TLTC. Any costs related to these additional resources will be charged to the department requesting the service, via an electronic IDT. This IDT must be signed and returned to the TLTC prior to a confirmation of support or equipment use.
Event Equipment Requests:
- Requests for equipment in support of events on the SHU Campus should be received with at least two weeks advance notice.
- Once the request is received, a member of the Media Services team will contact you to discuss and determine all of the event needs. This can include, but is not limited to, equipment rental and or arrangement of additional staffing for your event.
- Any event which falls outside the normal hours of operation or requires additional staffing will be charged at the prevailing union rate.
- In the event Media Services can not provide the equipment that is requested due to lack of resources, rental from an outside vendor will be suggested. All costs will be charged to the department requesting the service.
